BOOKING CANCELLATION POLICY:
3. INDIVIDUAL BOOKINGS
3.1 All bookings must be made in writing to the Company or through the
Company’s website and must include at least the following information:
3.1.1. full names and nationality of Guests;
3.1.2. dates for which bookings are made;
3.1.3. number of rooms; and
3.1.4. Special dietary requirements (if applicable);
3.1.5. Provide medical and travel insurance details.
3.2 Subject to the provisions of clause 3.7, any Individual Booking made with
the Company will be valid for a period of 14 (fourteen) days from the date
on which such booking was made, whereafter a 30% (thirty percent) non
refundable advance payment of the total cost of the booking will be required
to confirm same.
3.3 While a booking is held on a provisional status and another booking is
received accompanied by a securing deposit, you will be informed in writing
to secure your reservation with a deposit of 30% within 5 working days.
Failure to pay the deposit within the 5 working days will result in an
automatic cancellation of the entire reservation. Should a booking be
confirmed and the number of guests and/or rooms be reduced, our standard
FIT cancellation fees will apply.
3.4 If the advance payment is not received within 14 (fourteen) days of the date
on which the booking was made, the Company may construe such non-payment
as an act of cancellation on the part of the Guest and the provisions
of clause 4 shall apply.

3.5 The balance of the payment for the booking is due and payable by no later
than 30 (thirty) days before the commencement date of the Services for
which the booking is made with the Company.
3.6 If the balance of the payment for the booking is not received by 30 (thirty)
days before the commencement date of the Services, the Company may
construe such non- payment as an act of cancellation on the part of the
Guest and the provisions of clause 4 shall apply.
3.7 If an Individual Booking is made 30 (thirty) days or less before the
commencement date of the Services, the total amount payable in respect of
the booking will be due and payable on the date on which the booking is
made for such booking to be confirmed and valid.
3.8 The Company shall, only upon receipt of the total amount of the payment,
provide all vouchers, itinerary and additional information together with the
confirmation of the booking to Guests.
3.9 Any extras (not included on the original invoice) must be settled by Guests
before departure.
4. CANCELLATION OF INDIVIDUAL BOOKINGS
4.1. A cancellation of an Individual Booking will only be valid if made in writing
and shall only be effective upon its acknowledged receipt by the
Company
4.2. Cancellation charges shall apply as set out below:
4.2.1. in the event of a cancellation of a confirmed booking 61 (sixty one)
days or more prior to the date on which the Services are set to
commence, the full 30% (thirty percent) advance payment will be
forfeited;
4.2.2. in the event of a cancellation 60 (sixty) to 31 (thirty one) days prior
to the date on which the Services are set to commence, 50% (fifty
percent) of the total payment in respect of the booking will be due and
payable; and

4.2.3. In the event of a cancellation 30 (thirty) days or less prior to the
date on which the Services are set to commence (including any “no
shows”), 95% (ninety five percent) of the payment in respect of the
booking will be forfeited.
CHARTER FLIGHTS AND HELICOPTER LUGGAGE RESTRICTIONS AND GENERAL INFORMATION •
We maintain a strict luggage restriction of 20kgs in soft duffel bags (see 3.) per person including hand luggage and photographic equipment on all inter camp seat in plane flights. This is an air safety requirement and must be strictly adhered to. The aircraft used are small and specifically designed for bush conditions so adherence to weight limits is part of rigid enforcement of air safety.
Large suitcases and rigid, inflexible luggage cannot be transported in our aircraft. Wheeled bags are accepted provided the frame supporting the wheels is not rigid. The reason for this restriction is all luggage has to be packed in the belly pods of the aircraft due to safety regulations. Large suitcases and luggage with rigid wheel frames do not fit into the pods. The maximum dimensions of the soft bags are as follows: 25cm (10 inches) wide x 30cm (12 inches) high and 62cm (24 inches) long. Please keep in mind that the baggage compartments on most of the light aircraft are only 25cm (10 inches) high, so the pilots must have the ability to manipulate the bag into the compartment.
Travelers arriving with luggage which is not suitable for transport within our aircraft and or exceeds the dimensions stated will have to either leave luggage behind, book additional or private charter flights or arrange for their luggage to be forwarded to either Maun/Kasane – at their own expense. In all cases, this also creates delays to the scheduled charter times, inconvenience to other travelers and unforeseen considerable expense to the traveler concerned. We urge all our agents and industry colleagues to ensure that travelers are clearly informed of these luggage restrictions and requirements.
Please ensure your travelers are fully aware of this and should your travelers have excess luggage, please advise us in advance in order for us to make the necessary arrangements to avoid these travelers’ luggage being left behind and avoiding delays.
Travelers arriving with incorrect luggage will be re-scheduled onto other flights (resulting in potential loss of activity time at their first lodge). If scheduled flights are not available private charter flights will have to be booked, subject to availability of aircraft, causing delay, inconvenience and additional cost to the traveler.
Travelers who arrive at any other time other than the Air Botswana and Airlink schedule will need to wait for the standard schedules seat in plane departure time. Travelers who wish to depart at any other time should book private charters. This applies, for example, to self-drive travelers looking to depart Maun early in the morning or travelers connecting onto the late afternoon flight to Gaborone.
Travelers should be made aware that on scheduled, seat in plane flights, they may, on occasion, make up to 3 stops before arriving at their final Desert & Delta Safaris Camp or Lodge. Should they choose to fly directly from camp to camp, it is advised that private charters be booked for them instead.
Transfer rates are subject to change as a result of circumstances beyond our control, including changes to Government and / or Airport taxes, navigation fees, landing fees, fuel prices maintenance, industry increases or any other unforeseen costs.
